Type of Party, or Reason for the Party

Date selected for the party

Place selected for the party

Who is/are the host(s)/hostess(es)? (list your co-host, if you have one)

Invitations designed, and method used for distribution

Guests invited

RSVPs received

Guests notified of what they need to bring, or any other info they need to have

Menu of foods to be served

Games and/or Amusements planned

Decorations, if any

Floral Decorations, if any

Favors to be distributed, if any

Overnight guests, if any

Crafts required pre-party

Supplies needed

Groceries needed

Additional Equipment needed

Food Aftermath (what succeeded and what failed)

Party Aftermath (again, what succeeded and what failed)

Thank you notes sent

I use this form to remind me of the good parts of every gathering, as well as the parts that bombed. That way, I might not repeat a dismal failure in the future.

Also, you hate to serve the same foods to the same people every time you entertain them, don't you? I do.

This list also helps because I don't hire a caterer, or party planner, and do it all myself.

Delete any subject line that doesn't work for you, and add any that I've not listed. For instance, you might want a line of potluck assignments, or what helpers have promised to do for the party, or deadlines before the big day. If it's a really big deal party, you might want to have information for the media.

It's also a great way to keep track of the costs of each and every party!
